  1.  What is the typical system configuration?  
  Most common and cost effective deployment utilizes hosted services from our SAS-70 Datacenter in downtown Chicago.  With this service, access is easy using any standard web browser such as Internet Explorer, Firefox, Safari or Chrome.  Report output is to .pdf format and .csv/.xls if appropriate.  
     
  2. How much does FoodService Ace Cost?  
 

Since a SaaS model typically make the most economic sense for small to mid-sized organizations, our pricing models reflect what components are to be utilized (Back Office, Corp Accounting, Loyalty, etc) and how many locations.  All pricing will include a set-up/implementation fee and a recurring monthly fee – if spreading payments or other financial considerations are necessary we can review.  Monthly fee includes:

 

    • 24/7 access to FoodService Ace by user or location

    • Dedicated logins to appropriate databases with security controls

    • Full redundant and real-time back-up of data at the datacenter

    • Full access to upgrades as available and 9a-5p central support center.

 
     
 

3. What is the approach to Implementation and Training?

 
 

Having clear objectives, realistic timelines and an active project team will enable an environment where the client and Catalpa can work quickly through the steps of implementation.  Our role is to help you define the business requirements, identify the major steps in the process, learn the set-up and processing power of your new toolkit and work with the end user community to educate and step down knowledge resulting in a smooth implementation.


Our implementation steps for set-up include a blend of “spreadsheet” data collection (used for loading large volumes of repetitive data) and direct entry into FoodService Ace (used for base table information and configurations).  We encourage as much hands-on set-up as practical as a useful exercise reinforcing system configurations and building “power users” who are fluid with the mechanics and understanding of how the system functions.


Training is handled ideally in a train the trainer approach where key project team individuals learn in detail and pass on their knowledge.  Catalpa typically facilitates the education of the trainers and will assist as desired on the step-down training.  We will supply you with customizable training materials geared to your business and roll-out strategy – we subscribe to the KISS principle as a way to have user group focus on what is meaningful for process function.

 

Go-live is considered “all hands on deck” with key support resources from both Catalpa and the client available strategically to assist with any issues during the go-live process and answer any questions from the user community.  Catalpa provides whatever level of participation is necessary to ensure that the go-live process is successful – we are a long-term partnership!
 
     
 

4. What are the Standard Support Hours of Operation?

 
 

Email and phone support is available 9a-5p Central time – emergency support services are available to each client through a direct account contact.

 
     
 

5. Are there limits to how many people can use the system at one time?

 
  No, because all our products are built using Oracle database and deployment tools you benefit from high security, reliability and scalability.  We use a login method of subscription and will tailor these logins to your business model both in the field and at the corporate office.  
     
 

6. What if I already have an Accounting system that I am satisfied with?

 
  No problem, although the FoodService Ace is an integrated approach to the Back Office and Commissary systems, you are not obligated to use it and still benefit from the cost saving functions within FSA Back Office.  We interface easily with most Accounting systems using our defined API’s and file transfer portals.  And if it’s just a matter of not trying to change too much at once within your organization – we will work with you and determine a sensible approach to rolling out FoodService Ace for the enterprise.
